The Virchow Foundation in Berlin is seeking a part time (0.8 FTE) Office Assistant to join our team. Start date as soon as possible.

About the Virchow Foundation

The Virchow Foundation is a private foundation in Berlin, which strives to promote and anchor awareness of global health issues, both nationally and internationally, and contribute to the improvement of health worldwide. Key pillars of the Foundation’s activities includes the awarding of the Virchow Prize and the Global Health Policy Lab. 

The Virchow Prize is an international award that recognizes and celebrates groundbreaking research, major innovations and outstanding contributions with significant impact on the broad health challenges we face as a global community.

The ‘Global Health Policy Lab’ (GHPL) aims to be the leading AI-enabled platform designed for health policy-making, providing comprehensive tools for accessing, comparing, and generating evidence-driven health policies, supported by an inter-disciplinary team of global health, policy and technology experts.

About the role

Virchow Foundation (80%) & Global Health Policy Lab (20%) | Administration

  • Provide administrative support for Virchow Foundation and Global Health Policy Lab (GHPL) leadership, including scheduling of appointments, calendar maintenance, and management of email correspondence.
  • Provide general administrative support to the team and our growing partnership activities and events, including ad hoc research, engagement and communication.
  • Book travel for team members and partners when needed.
  • Handle phone calls and maintain professional communication with team, partners, donors and important contacts.
  • Attending meetings of the VF & GHPL Founders, Board of Trustees, Council, Executive Board and taking minutes.
  • Material preparation, such as drafting and sending professional letters and agendas to partners and donors, presentation decks and graphics.
  • Setting up and maintaining distribution lists, contact databases (CRM), and using the Microsoft Dynamics CRM platform. Liaising with external partners to foster these relationships.
  • Co-develop output reports such as VF Annual Reports or GHPL outlook report on health policy trends, etc.

Financial Management

  • Support with documentation of expenses and overall budget administration

Event & Project Management 

  • Provide support for the Virchow Prize, including processing nominations, event planning logistics, and communications. Including GHPL & VF partner events.

GHPL Project Management Support

  • Develop project plans, assisting in the delivery of projects, helping to coordinate, manage and track project tasks and deliverables.

Skills & experiences

  • Exceptional written and verbal communication skills.
  • Verbal and written fluency in both German and English (C2).
  • Proactive and able to work autonomously with minimal direction.
  • Outstanding organisational, time, and project management skills.•
  • Advanced MS Office skills (especially Word, Excel and PowerPoint) and experience with Canva
